Toast inventory management can refer to menu-item availability, xtraCHEF restaurant inventory or Toast Retail purchasing. Identify the product and subscription first: instructions for one do not establish what another can do.

This documentation-based guide explains the distinction and gives each team a useful trial. LineNow publishes it and is an option for supplier purchasing; it is not an independent hands-on ranking of Toast products.

Menu stock supports the service team

Toast's menu-stock guide documents in-stock, out-of-stock and limited-stock settings. A limited quantity can mark the menu item unavailable when the last unit sells. It also documents scheduled stock refreshes.

These counts are item-specific. Toast's example of an ingredient appearing in two dishes illustrates why one menu item's counter does not automatically maintain a shared ingredient balance. For purchasing ingredients, evaluate recipes, units, counts and supplier orders as a separate workflow.

A useful service test is whether a sold-out item becomes unavailable in the expected ordering surfaces. A useful purchasing test is whether selling dishes produces a reviewable ingredient requirement. Do not treat passing the first test as proof of the second.

xtraCHEF covers restaurant back-office work

Toast's xtraCHEF overview lists invoice automation, accounting integrations, food-cost reporting and vendor/order management in Essentials and Pro. Recipe costing and inventory management are listed in Pro. The page currently identifies xtraCHEF as US-only; confirm availability and the quotation for your business.

Read before ordering

A dense operator briefing for teams that need sharper buying, cleaner supplier follow-up, and fewer expensive surprises.

The ordering guide describes ordering from previously purchased invoice items or an order guide, selecting a vendor, entering quantities and sending by email or downloaded PDF. This is meaningful supplier-ordering functionality, not just invoice scanning.

For a restaurant trial, use one ingredient bought in a supplier pack and consumed across two recipes. Check the product mapping, purchase unit, recipe yield, physical count and resulting order. Then introduce a supplier-confirmed change and ask the team to show how the current order, receipt and invoice remain understandable. Missing detail in a public guide should become a demonstration question, not an assumed product limitation.

Toast Retail has its own purchasing and receiving

Toast Retail's purchase-order guide documents supplier POs, edits, sending and receiving. Its item-selection screen includes stock, quantities on order, sales history and PAR information. It also documents cost adjustments and partial receiving.

For a retailer, test the actual Retail workflow before buying another product for basic PO creation. Include a supplier case that maps to sellable units, a delayed balance and freight. Check which costs appear on the order, item and inventory history instead of assuming those fields are interchangeable.

Product announcements and support pages can change at different times. If invoice capture or a newly announced AI feature is central to the purchase decision, demonstrate it in the account and plan being quoted. This guide does not turn an announcement into a guarantee of general availability.

Follow one exception across the team

This illustrative test works for both restaurant and retail purchasing:

Compare the configured Toast workflow with any proposed alternative using the same order. Record missing evidence and duplicate entry. Do not substitute a vendor's feature count for this operational test.

Where LineNow fits beside Toast

LineNow for Toast uses a customer-managed, read-only Toast Standard API connection for supported menu and closed-order data. It does not write inventory counts, costs or menus back to Toast. Confirm API eligibility and setup before planning the trial.
