Craftable describes vendor ordering, inventory counts connected with recipes and theoretical usage, invoice matching, discrepancy flags and approval routing. For a restaurant controller, a variance report is useful only if the team can trace the variance to a purchase, receipt, recipe or physical count. A procurement demonstration should show that evidence alongside the dashboard and make the required setup visible.
Explain the variance instead of only displaying it
Use an illustrative week with 100 units of opening stock, 50 received and 40 counted at close. With no transfers or adjustments, actual usage is 110 units. If recipes and recorded sales imply 100 units of theoretical usage, the unexplained difference is ten units.
Now reveal that a receiving employee entered 50 units from the PO even though only 45 arrived. Correcting the receipt reduces actual usage to 105 and the unexplained difference to five. The example shows why an inaccurate receipt can resemble waste or over-portioning.
Ask each vendor to preserve the correction history, supplier shortage and final invoice evidence. Then inspect whether the recipe, count and purchasing reports refresh consistently. The goal is an explainable operational number, not a promise that software can eliminate every variance.
