The best purchase order software for a small business depends on what the team needs to control: job costs, stocked inventory, supplier changes, approvals or specialized purchasing. Start with those requirements and test the tools against the same order. A system you already own may be sufficient.

First establish whether native purchase orders are enough

If you mainly need a supplier order, an approval record and a bill linked to the purchase, test the software you already use. QuickBooks Online's US documentation places purchase orders in Plus and Advanced. Xero describes creating, approving, sending and tracking purchase orders and converting them to bills. Intuit's PO guide, Xero purchase orders.

Native purchasing can be a valid endpoint. If supplier changes, receiving or inventory require additional work, document those gaps before adding another system. Use the accounting integration guide to define which application owns the PO, receipt, bill and payment.

A connected account does not imply support for every external portal, ERP object or approval hierarchy.

If manufacturing is part of the business, distinguish buying components from scheduling production. Zigaflow: purchases tied to customer jobs

Zigaflow documents POs generated from jobs or sales orders, supplier acknowledgment and tracking pages, receiving that updates inventory, and invoice matching. This makes it a relevant option when a customer job triggers supplier purchases and the team needs to see the actual cost against that job. Zigaflow purchase orders.

Test a job supplied by two vendors, a partial receipt and a changed cost. The limitation to investigate is your specific operating requirement, not a presumed lack of supplier workflow. Ask which job, inventory and accounting functions are included in the quoted configuration.

Vencru: purchasing within inventory and accounting

Vencru documents supplier POs, inventory updates, vendor bills and transaction history in its inventory-and-accounting product. It is worth evaluating when the owner wants purchasing and books in the same application. Vencru purchase orders.

Have the bookkeeper and receiver follow one purchase through a partial delivery and vendor bill. Confirm the accounting, warehouse, currency and user requirements for the selected plan. A broader application may be sufficient; do not assume that a separate procurement platform always provides a better result.

Procurify: requests, approvals and spend control

Procurify describes intake, approvals, POs, invoice matching, payments and ERP integrations. Evaluate it when purchasing is distributed across requesters, approvers and locations. Procurify product scope.

Precoro: revisions and purchasing governance

Precoro describes purchasing, receipt and inventory workflows, invoice matching and document history. Its help center explains how an approved PO can be revised and which changes can require reapproval. Precoro product, approved-PO revisions.

Test a supplier price change that exceeds the buyer's authority. Inspect the original approval, revision and final decision. Choose the configuration against your policy; do not assume a minimum employee count, implementation duration or fixed total cost from a category label.

Tradogram: sourcing through receipt and invoice review

Tradogram describes requisitions, sourcing, POs, supplier management, delivery tracking and invoice matching. Its core-features page states that confirming deliveries updates inventory records. Tradogram core features.

inFlow Inventory: stock operations and purchase receiving

Use actual purchase packs, barcode devices, locations and returns in the demo. A product can have useful purchasing depth while still requiring a separate process for a particular supplier exception. Establish that from the trial, not from a generic feature matrix.

Prendio: life-science procurement

Prendio describes procurement for life-science companies, including supplier punchouts, approvals, ERP integration and matching. Its specialization makes it relevant when those scientific purchasing workflows matter. Prendio.

Use representative suppliers and both goods and service purchases. Confirm the required approval, receiving and integration evidence with the team responsible for the process. Domain specialization is a reason to evaluate a product; it is not a guarantee that every lab or regulated workflow is covered.

Run one supplier-change test with every finalist

Use this illustrative order: ten cases of 12 units at $30 per case, totaling 120 units and $300 before tax or delivery. The supplier confirms eight cases now, two later, and proposes $32 per case.
