Supplier management software can mean managing an approved supplier record, qualifying a new vendor, comparing performance or keeping live orders current. Those are related jobs, but they call for different evidence. A small business should identify the recurring problem before buying an enterprise-sized supplier-data project.

Keep supplier information and supplier execution distinct
An approved supplier record may contain legal identity, contacts, terms and required documentation. A live purchase record contains a specific quantity, price, delivery promise and receipt. A current supplier profile does not prove that the latest delivery is on time, and a successful delivery does not prove that onboarding checks are complete.
The useful design connects those records with stable identifiers and clear responsibility. It does not force the buyer to maintain every field in every system. For the order itself, a living purchase order keeps supplier changes and receiving context together.

SAP Ariba: lifecycle, qualification and performance

This is relevant when supplier status and oversight need to connect to a wider procurement program. Confirm the particular solutions and integration scope in the proposal. A small team should compare the governance it needs with the work required to maintain it, rather than assuming every lifecycle module is necessary.
Test a new supplier with incomplete information, a second contact from the same legal entity and a proposed change to an existing record. Inspect who reviews the changes and how the approved record reaches the destination system. An onboarding workflow earns its place when the team can maintain trustworthy records without rebuilding them in multiple applications.
Felix: project-based vendor and procurement coordination

For a project business, test whether eligibility applies to the right project, category and work package. A vendor approved for one assignment may still need a different review for another. Ask how an expiring document affects the next purchase and who owns the decision; do not infer legal compliance from a stored certificate alone.
Procurify: suppliers within controlled purchasing
Procurify describes purchasing requests, approvals, POs and downstream finance workflows, with supplier management included in its purchasing scope. Procurify purchasing.
Test a requester selecting an approved supplier, a buyer creating the PO and a receiver reporting a short delivery. The supplier record should remain connected while each role has appropriate permissions. See the Procurify comparison for a location-based test.
Supplier.io: vendor-master quality and supplier intelligence
Supplier.io describes legal-entity matching, resolving duplicate supplier records and enriching supplier information. At the time of this review, Tealbook's former website redirected to Supplier.io, so an old Tealbook feature or pricing comparison should be rechecked against the current offer. Supplier.io.
Use a deliberately messy sample: two spelling variants, a trading name and two actual legal entities with similar names. Ask how a reviewer can accept or reject a proposed match without losing the original record or transaction links. This is a data-quality evaluation, distinct from managing today's open PO.
Coupa: supplier interaction within the purchasing setup
Coupa's current supplier documentation describes a portal for catalogs, POs, invoices, advance ship notices and transaction status, depending on the customer's configuration. Test the actual suppliers and transaction volumes before deciding which connection each should use. Portal participation is one possible route, not proof that every supplier must use the same interface. Include supplier onboarding and support work in the implementation estimate.
Use separate tests for onboarding, performance and live orders
Onboarding: create a supplier with a similar name to an existing vendor. Assign an owner to review identity and required documents. Verify the approved record, change history and destination identifier before allowing it into the purchasing process.
Performance: measure one agreed outcome with an explicit denominator. For example, in an illustrative period, eight of ten deliveries arrived by the last mutually agreed date. That is an 80% on-time rate under that definition. It is not a complete supplier score: distinguish changed promises, incomplete deliveries and rejected goods, and avoid treating a tiny sample as a reliable long-term ranking.
Live execution: order 100 units, accept a supplier proposal for 70 now and 30 later, then receive only 65 of the first 70. The team should explain the five-unit delivery discrepancy and the 30-unit future commitment separately. Attach the supplier message, acceptance and receipt evidence before resolving the invoice.
A platform can serve one of these jobs well without being the correct owner of all three. Decide which gaps your team needs to close and evaluate the integration between owners.
Compare effort, access and commercial terms
Before signing, obtain the required modules, supplier counts, user roles, locations, data sources, implementation, support and renewal terms. Ask whether suppliers pay for or must register for the specific workflow. Check current LineNow pricing and the other vendors' current written offers.
The final trial should leave the buyer able to answer who the supplier is, whether the supplier is approved for the purchase, what it has promised and what remains unresolved. For order creation and receiving alternatives, use the purchase-order software shortlist.
